Batch Statements

Streamline the billing process by utilizing Batch Statements!

Batch statements are compiled billing summaries that group multiple invoices or charges for one or more clients over a specific period. These statements streamline the billing process, allowing you to generate, review, and distribute a series of client statements in one action.

From the Batch Statements section in Analytics, you can:

  • Create one or more Batch Statement Schedules by setting batch details and criteria:

    • Name

    • A minimum balance

    • Balance age (Any, 30+, 60+, 90+, 120+ day)

    • Frequency (Weekly and/or Monthly)

    • Include/Exclude by account type (Optional)

  • Find and download automatically generated batch statements

  • Generate batch statements on demand


📨 Generate New Report Schedule

Set up a report schedule to automatically pull the statements you need. Go to the Analytics screen, select “Batch Statements,” and then click on “New Statement Schedule” at the top of the screen.

Input the following information to customize your Scheduled Statements:

  • Enter a name for the Statement Schedule

  • Select a Minimum Overdue Balance

  • Choose an Account Balance Age

  • Choose if you would like to include Invoices

  • Select the Frequency

  • Add Account Alerts to exclude in the Statements

  • Add Account Types to Include or Exclude in the Statements

Once ‘Create’ has been selected, you will get a green confirmation at the bottom of the page.

To edit a Batch Statement Schedule, simply utilize the 3-dot menu associated with the schedule and select edit. This pull open a window allowing you to edit the batch statement schedule.


🖨️ Printing Statements

To view and download scheduled statements, click on the name of the Statement Schedule in the Batch Statement screen to be taken to the list of previously generated Statements. You will see the when that statement was scheduled, when the statement was generated, and how many accounts are included in the statement.

💡Pro Tip – The Export Criteria will display at the top of the page. To edit this select the ‘Change Criteria’ button.

You also have the option to create a ‘One-Off Export.’ Selecting this option will generate a new statement with the previous selected criteria.

Printing a Scheduled Statement will generate a PDF with each account on a separate page detailing the following:

  • Client Information

  • Transactions within the current month/week of Scheduled Statement

  • Account Balance

  • Account Credit (Unapplied Payments)

  • Age of Balance


🗄️ Archiving Batch Statement Schedules

Batch Statement schedules can easily be archived by utilizing the 3-dot menu associated with it.

Selecting Archive with populate a confirmation window alerting you that that proceeding with this action will stop generating any further batch statements, and that the schedule will no longer be visible or accessible.
