Batch Statements

Simplify and speed up the billing process by using Batch Statements.

Batch statements are compiled billing summaries that group multiple invoices or charges for one or more clients over a specific period. They streamline the billing process by allowing you to generate, review, and distribute multiple client statements in a single action.

What You Can Do in Batch Statements

From the Batch Statements section in Analytics, you can:

  • Create Batch Statement Schedules by setting details and criteria, including:

    • Name

    • A minimum balance

    • Balance age (Any, 30+, 60+, 90+, 120+ days)

    • Frequency (Weekly and/or Monthly)

    • Include/Exclude by account type (Optional)

  • Find and download automatically generated batch statements.

  • Generate batch statements on demand.


Generate New Report Schedule

To automatically generate the statements you need, set up a report schedule:

  • Go to the Analytics screen and select Batch Statements.

  • Click New Statement Schedule at the top of the screen.

Customize Your Scheduled Statements

Enter the following when creating a Statement Schedule:

  • Enter a name for the statement schedule.

  • Select a minimum overdue balance.

  • Choose an account balance age.

  • Choose whether to include invoices.

  • Select the frequency.

  • Add account alerts to exclude from the statements.

  • Add account types to include or exclude in the statements.

Once you click Create, a green confirmation message will appear at the bottom of the page.

To edit a Batch Statement Schedule, click the three-dot menu next to the schedule and select Edit. A window will open where you can make changes to the schedule.


Printing Statements

To view and download scheduled statements, click the name of the Statement Schedule on the Batch Statements screen. You will be taken to a list of previously generated statements, showing when the statement was scheduled, when it was generated, and how many accounts are included.

Note: The Export Criteria is shown at the top of the page. To make changes, click the Change Criteria button.

You can also create a One-Off Export, which generates a new statement using the previously selected criteria.

Printing a scheduled statement generates a PDF with each account on a separate page, showing:

  • Client information

  • Transactions within the current month or week of the statement

  • Account balance

  • Account credit (unapplied payments)

  • Age of balance


Archiving Batch Statement Schedules

Batch Statement schedules can be archived by clicking the three-dot menu next to the schedule and selecting Archive.

Selecting Archive will open a confirmation window warning that proceeding will stop all future batch statement generation and the schedule will no longer be visible or accessible.
