How Open and Closed Invoices Affect Analytics Reports

In Instinct EMR, several Analytics reports and dashboards calculate their numbers differently depending on whether an invoice is open or closed. Use this article to understand which date and invoice status each report uses.

Accounts receivable and account balances

The Accounts Receivable (A/R) Summary Report adds up the totals of all closed invoices, minus payments, to calculate the account balance. Invoices left open after check-out are not included in the account balance. All transactions are included in the account balance, regardless of invoice status.

Reports that use the invoice close date

  • Practice Summary Report: the reporting timeframe uses the invoice close date instead of the check-out time. Metrics such as Total Revenue Invoiced, Total Tax Invoiced, Total Discount Amount, and Average Visit Invoice exclude all open invoices.

  • Provider Summary and Details Report (Gross Invoicing): shows the sum of closed invoices for the selected period, reported by close date. Revenue is calculated before tax and after discounts. The report includes a cover page with practice details and the reporting date range, plus a glossary tab for column definitions.

  • Provider Summary and Details Report (Collected Invoicing): shows revenue collected from closed invoices, based on payments and refunds made during the reporting range. Collected Revenue includes only fully paid closed invoices.

  • Taxes, Non-Taxable Sales, and Discounts Report: the reporting timeframe uses the invoice close date, and all items on the invoice are included, regardless of when they were applied.

Reports that use a different date

  • Revenue Details Report: the Invoice Status column shows whether an invoice is Open or Closed. Collected displays for fully paid closed invoices, and Uncollected displays for open invoices and for closed invoices that are not fully paid. Revenue is attributed to the week the invoice was created, or the item was added, so it shows trends by when services or products were invoiced.

  • Revenue Overview dashboard: revenue is attributed to the week the invoice was closed, so it shows trends based on finalized invoices.

Note: If an invoice was open last week and closed this week, it appears in this week's data on the Revenue Overview dashboard, because the dashboard reports by invoice close date.

Frequently asked questions

Why is an invoice missing from my report?

Many reports only include closed invoices. Check whether the invoice is still open. See Close and Reopen an Invoice for details.

Why does revenue show in a different week on two reports?

The Revenue Details report uses the invoice creation or item-added date, while the Revenue Overview dashboard uses the invoice close date.
