Advanced Patient Search (Lookup)

Quickly filter and find patients in your practice with Advance Patient Search!

🔍 Accessing Patient Lookup

  • From the Sidebar: Click the 🔍 Look Up icon on the left sidebar.

  • Keyboard Shortcut: Press CTRL + i


👀 Using Search

You can search by:

  • Patient ID

  • Patient Name

  • Account Phone Number (full, partial, or alternate contact)

By default, the search results will include all patients, whether or not they’ve had previous visits.

Searching by phone number (full, partial, or alternate contact) will return any patients linked to the account they’re associated with. This includes all phone numbers on the primary account, as well as any numbers listed for alternate contacts


🗃️ Using Filters

You can also apply Filters (located to the right of the search bar) to refine results.

Filters available:

  • Doctor

  • Check In Date

  • Location

  • Microchip ID

  • Species

  • Breed

  • Insurance ID

  • Deceased Status

  • Rabies Tag

Search by Doctor, Check-In Date, and Location allows you to find patient records that match those criteria across their historical visits.

For example:

  • Searching by Check-In Date = January 1, 2025 will return all patients who were checked in on that date, regardless of which doctor or location was involved.

  • Searching by Check-In Date = January 1, 2025 and Doctor = Dr. Barkley will return only the patients who checked in on January 1, 2025 and who were seen by or assigned to Dr. Barkley during that visit.

If you also include Location in your search, results will be further refined to show only patients who meet all three criteria — those checked in on January 1, 2025, seen by Dr. Barkley, and checked in at the specified location.

This flexible search helps you quickly narrow results across a patient’s visit history, making it easy to review appointments, workloads, and visit patterns based on specific dates, providers, and sites.

Any filters you set are saved to your user login and will remain active the next time you open Patient Lookup.

To remove all filters, select Clear Filters from the Filters drop-down menu. To clear both the search bar and all filters, click Clear in the top-right corner of the search box.

Selecting a Filter allows you to initiate a search for any patient matches. For example, to search by Microchip ID, choose the Microchip ID filter.

Then, click the Microchip ID: Any prompt to enter all or part of the Microchip number:

Search results will display partial and full matches of the Microchip number, with exact matches listed first.

To filter patients without visits, utilize the Check-In Date filter. From there, select Check-In Date: Any and activate the Only Patients Without Visits option.



📷 Quick Copy

Quick Copy lets you instantly copy the following details to your clipboard:

  • Patient ID

  • Microchip number (numbers only)

  • Rabies Tag

  • Primary account phone number(s)
