Taking a Deposit

Deposits can be taken for a same day visit or for a future one.

There are two instances for when deposits need to be taken:

  • A same day appointment

  • A future appointment

Same day appointment

To take a deposit that will be used to pay towards an appointment on the same day, it is recommended that the collected deposit amount is added directly to the visit's invoice.

This deposit should be taken under the Invoice tab of the Payments Panel for the patient.

Check the patient in (this will start a visit and invoice) > navigate to the patient's ledger > find the invoice started for the patient's current visit on the Payments Panel > take payment (deposit) and record notes. Here's an example:

Future appointment

For any future appointment (where an invoice would not yet be started), payment should be taken under the Account tab of the Payments Panel for the patient. Patient does not need to be checked in to do this.

Navigate to the Payments Panel for the patient > under the Account tab, select Type: Deposit > fill in details of other required fields > make a note of what the deposit is for. Here's an example:

When a deposit is taken on the Account tab under Type: Deposit, this amount will show up in Account Credit, and can be applied to an invoice or invoices when needed.

Account Credit (Unapplied Payments) Refunds

In the Account tab, you can make refunds at the Account level. This transaction will issue a refund from the Account Credit (Unapplied Payments) amount available. You cannot refund an account more than the credit balance, and the option to Refund won’t display if there are no funds in Account Credit (Unapplied Payments).
