My Board
This is your personalized list of patients. It is unique to you and will only display your patients or the patients you’ve pinned.
Veterinarians: Any patient assigned to you in the “DR” column will automatically display in “My Board”, with the exception of patients on the Boarding Board. Patients will remain on your My Board 24 hours after check-out in the Recently Checked Out row. If a patient has multiple visits checked out within that same 24 hour time frame, each visit will display in this section separately.
Other staff: Any patient you “pin” will appear in “My Board”.
📓 Please Note: To “pin” a patient, you’ll need to locate the patient on another board first. Then click the icon to the left of the patient’s name to pin them to your board.
OP (Outpatient) Board
Contains those patients that are checked-in for appointments, ER exams, quick procedures, etc
IP (Inpatient) Board
Contains those patients that are hospitalized or recovering from procedures.
Boarding Board
If your hospital has a boarding facility or has frequent medical boarders, you can use this board to keep those patients separate. You can also use this board as a sandbox for practice patients while learning Instinct. Please only use practice patients with the name ‘Test’ in them as these are omitted from reporting.
📓 Please Note: To move a patient from board to board, find a patient, click on the 3-dot menu to the left of their name, and then choose “OP”, “IP”, or “BP” (for outpatient, inpatient, or boarding boards, respectively).
OTW (On-the-Way) Board
This board is used for on-the-way patients for ER or for those patients that have procedures the following day.
Checking a patient into the OTW Board allows for the creation of the patient’s Tx Sheet before they arrive.
For EMR Only:
🚗 Setting Up An OTW Patient
Patients can be placed on to the OTW Board from the following areas:
1) The OTW Board itself:
If you already know the patient’s ID, you can click the orange Check In Patient button in the lower, center part of the screen and place the patient on the OTW Board.
📓 Please Note: A patient must have been previously registered before IDs can be searched in this area. For more information on creating patients, be sure to check out the EMR Business Office Guide!
2) Business Office:
Here you have 2 choices, the Check In button to the right of the Check In/Out information or through the 3 dot menu to the left of the Patient ID. Please note that if the patient has not been previously seen, the 3 dot menu will not be visible but you can still click ‘Check In’ towards the right as shown below.
3) Look Up (or by hitting ctrl+i):
This method also gives 2 options: Selecting the Check In button to the right of the Cage Card information or via 3 dot menu to the left of the Patient information. The patient being searched needs to have at least 1 visit for them to appear in this area and if they have not been seen before, they will not show up in this search (this is searching for previous visits only).
4) Rapid Registration:
When selecting the Status drop-down, you will have the option to place the patient on the OTW Board by selecting OTW. This area is strictly for patients who have not been registered or seen before.
Once OTW has been selected as the Status, fill in the known fields including the anticipated future check-in date and time before clicking Check In.
💡ProTip: Be sure to adjust the check-in date to a time in the future or the Tx Sheet will default to 'NOW'.
Once the patient arrives at the hospital, simply click on the 3-dot menu next to the patient’s name on the OTW board, and from the dropdown menu choose from OP, IP, or Boarding to “check them in”.
The check-in time will automatically update to the current time once the patient is moved to the OP, IP, or BP board. You can simply update any treatments on the treatment sheet to reflect the new check-in time using the bulk edit feature.
For ITP Only:
🚗 Setting Up An OTW Patient
🚨 Unconnected practices will first want to register the patient in Instinct if they have not been seen before.
Patients can be placed on to the OTW Board from the following areas:
1) The OTW Board itself:
Click the orange Check In Patient button on the screen and type in the patient’s ID to place them on the OTW Board.
2) Business Office:
Here you have 2 choices, the Check In button to the right of the Check In/Out information or through the 3 dot menu to the left of the Patient ID. Please note that if the patient has not been previously seen, the 3 dot menu will not be visible but you can still click ‘Check In’ towards the right as shown below.
3) Look Up
This method also gives 2 options: Selecting the Check In button to the right of the Cage Card information or via 3 dot menu to the left of the Patient information. The patient being searched needs to have at least 1 visit for them to appear in this area and if they have not been seen before, they will not show up in this search (this is searching for previous visits only).
After clicking on the ‘Check In’ button from one of the above areas, confirm the patient name and fill in the know fields, including the anticipated future check in date and time, before clicking “Check In”.
The patient will now appear on the OTW board allowing for creation of a Tx sheet with the appropriate future Start dates and times.
When the patient arrives:
Connected Practices: Once the patient arrives and is checked in through your main practice software, the Tx Sheet will become live on the OP Board. There is no need to edit the selected check in time if it is no longer accurate because it will update to the real time once checked in on your practice software. Instead, you can simply update any treatments on the treatment sheet to the new check in time using the bulk edit feature!
Unconnected Practices: The visit will need to be manually moved to the OP/IP board upon check in via 3-dot menu on the Status Board. There is no need to edit the selected check in time if it is no longer accurate because this will update once the patient is moved to the OP, IP, or BP board. Instead, you can simply update any treatments on the treatment sheet to the new check in time using the bulk edit feature!
