Instinct records a log every time an Automation runs — whether it succeeded, was skipped, or failed. Logs are available in two places: a centralized Automation Audit Log in Admin, where you can search and filter all runs, and contextual logs embedded directly in the records each Automation touches.

Using the Automation Audit Log
The Automation Audit Log gives administrators a full history of every Automation execution across the practice. Use it to confirm an Automation fired, investigate a skipped or failed run, or review how often a specific Automation has been triggered.
In Admin, navigate to Practice → Automations.
Select Audit Log.
Review the list of execution records. Each entry shows the Automation name, the date and time it ran, and the result: Completed, Skipped, or Failed. Failed and skipped entries include a reason.
Filtering the Audit Log
Use filters to quickly zero in on specific runs without scrolling through the full history.
Filter by Automation name — select a specific Automation from the dropdown to show only its execution history.
Filter by status — choose Successful, In Progress, Skipped, or Failed to narrow results by outcome.
Filters can be combined—for example, show only failed runs for a specific Automation.
To reset the view, clear the active filters. An empty-state message will appear if no runs match your criteria.

Contextual logs within records
In addition to the Audit Log, Automation activity is recorded directly within the records each Automation acts on. These logs are useful for seeing exactly what happened during a specific visit, prescription, or task.

Completed Treatment
Go to Order History and select Automation Details on the relevant treatment. The log shows whether the Automation was Successful or Skipped and includes a reason if it was skipped.
Dispensed Prescription
Go to the RX tab, open the three-dot menu on any dispensed prescription, and select Automation Details. A lightning bolt icon on the prescription indicates an Automation is set to trigger when that medication is dispensed.
Send Comm Log
When a Send Comm Log Message or Send Comm Log with Handouts action fires successfully, the resulting Comm Log entry includes a notation that it was created and sent via Automation.
Create Task
Tasks created by an Automation display a notation in the task record indicating they were generated automatically.
Create Document from Template
Documents created by an Automation display a notation in the document record indicating they were generated automatically.
Patient Check In and Check Out
Automation activity tied to a check-in or check-out is recorded in the visit card's audit history. Select the three-dot menu at the top of the visit card to view it.
Note: If there is a report that an Automation "didn't work," checking the Audit Log or the relevant contextual log is the best first step. The log will show whether the system attempted to trigger the Automation and if it was skipped, with the reason why. |
Frequently asked questions
What does "Skipped" mean in the Audit Log?
A Skipped result means the Automation's Trigger fired but one or more Conditions were not met, so the Action did not run. The log entry will include the specific reason—for example, a patient alert Condition that wasn't satisfied, or a client with no email address on file.
What does "Failed" mean?
A Failed result means the system attempted to run the Action but was unable to complete it. The log entry will include a failure reason. If you see repeated failures, check that the Automation is configured correctly and that required data (like a client email address) is present.
Will my filters in the Audit Log reset when I log out?
Yes. Filter selections are saved when you navigate away and return within a session and will reset upon logout. Persistent filters across logouts are planned for a future update.
Can I see logs for all Automations in one place?
Yes—the Automation Audit Log in Admin shows execution history for all Automations across your practice. Use the name and status filters to focus on a specific Automation or outcome.
