Sort Batch Statements

In Instinct EMR, Batch Statement Templates include a Sort Order setting that lets you generate statements sorted by contact last name or account age (A/R aging buckets). This makes it easier to print the right batch of statements for each aging group—30, 60, 90, or 120+ days overdue—and pair them with the correct collection letter.


Set the sort order on a Batch Statement Template

You can configure the sort order when creating a new template or editing an existing one.

  1. Go to AnalyticsBatch Statements.

  2. Select an existing Batch Statement → Change Criteria to edit, or select New Statement Schedule to create one.

  3. Find the Sort Order field on the template settings.

  4. Choose one of the two options:

    1. Contact Last Name: sorts all accounts alphabetically by client last name (default for new templates).

    2. Aging: sorts accounts by how overdue their balance is, starting with the oldest (120+ days), then 90 days, then 60 days, then 30 days. Within each aging group, accounts are sorted alphabetically by last name.

Save the template.

Note: Existing templates created before this update will default to the Contact Last Name sort order. You can edit any existing template to switch to Aging sort order.


How aging sort order works

When you select Aging, statements are grouped and printed in this order:

  1. 120+ days overdue (sorted A-Z by last name within the group)

  2. 90 days overdue (sorted A-Z by last name)

  3. 60 days overdue (sorted A-Z by last name)

  4. 30 days overdue (sorted A-Z by last name)

This lets finance and admin staff insert the correct collection letter (eg, a 90-day notice vs. a 30-day reminder) as they print each group, without having to manually filter or re-sort outside of Instinct EMR.


Frequently asked questions

Does this change affect previously generated statements?

No. The sort order setting only applies when you generate a new batch of statements using the template. Existing PDFs are not affected.

Can I have different templates with different sort orders?

Yes. Each template saves its own Sort Order setting so that you can maintain separate templates for alphabetical and aging-based printing workflows.

What sort order do existing templates use?

All templates created before sorting was made available have been set to Contact Last Name by default. No action is needed unless you want to switch to aging sort.
