Revenue by Product Dashboard

In Instinct EMR, the Revenue by Product Dashboard provides practices with visibility into product-level revenue by isolating the effects of pricing, discounting, and volume changes. Use it to identify which products are driving or reducing revenue, compare pricing behavior across providers, and understand the drivers behind changes in performance.

Note: This dashboard includes data only from closed invoices that contain line items, calculated based on each invoice's close date. Voided line items and reopened invoices are excluded, so all figures represent finalized financial data.


Before you begin

  • Staff must have the analytics_dashboard_revenue_by_product permission assigned to their role to access this dashboard in Analytics.

Questions this dashboard can answer

  • Which products are driving the most revenue?

  • Why did revenue change for a specific product—was it volume, pricing, or discounting?

  • Are providers pricing a product consistently, or are there outliers?

  • How much revenue is being reduced by discounts, and where?

  • Which products decreased in usage, and what was the revenue impact?

  • Has the average price per line item increased, decreased, or remained constant over time?


Dashboard tabs

The Revenue by Product Dashboard has four tabs. Each tab builds on the previous one, moving from a high-level summary to granular line-item detail.

Tab 1: Summary

A high-level snapshot of how revenue is distributed across products and product categories for the selected time period, compared to a previous period.

Available filters: Invoice Closed At, Compare Window, Product ID, Product Name, Product Name (contains), Product Category, Provider/Doctor, Invoice Location (multi-location practices only).

This tab has three sections:

  1. Key Metrics—Total revenue, total discounts, and total quantity sold for the period, with a comparison to the previous period.

  2. Charts—A Revenue by Product Category bar chart, a Top Products by Revenue chart showing dollar amounts by product, and a Top Products by % Revenue donut chart.

  3. Data Table—A product-level breakdown including Visit Count, Quantity, Revenue, % Total Revenue, Discount, Avg Net Total, Min/Max Net Total, and Revenue Growth (vs. both previous period and previous year).

Tab 2: Trend

Breaks down revenue changes into three distinct components—volume, price, and discounts—so you can identify exactly what drove an increase or decrease in revenue across all products.

  1. Volume effect—How revenue changed due to selling more or fewer units (holding prices and discounts constant).

  2. Price effect—How revenue changed due to shifts in average product prices (using weighted average, holding quantities and discounts constant).

  3. Discount effect—How revenue changed due to deeper or lighter discounting (using weighted average discount, holding prices and quantities constant).

  4. Residual difference—Small remaining amounts not captured by the three effects, often due to rounding or timing differences.

Use this tab to distinguish intentional changes (such as a promotion) from unintentional ones (such as increased discounting without a corresponding increase in volume).

Tab 3: Single Product

A focused analysis of one specific product, including pricing insights, revenue trends, and provider-level performance metrics.

Available filters: Invoice Closed At, Compare Window, Group by, Product ID (defaults to highest revenue product), Product Name, Product Category, Provider/Doctor, Invoice Location (multi-location practices only).

This tab has four sections:

  1. Key Metrics—Total revenue for the product with period comparison, absolute dollar change, and the key volume/price/discount drivers behind the change.

  2. Charts—A waterfall chart showing revenue drivers, a line chart comparing revenue trends across both periods, and a detailed comparison table with quantity, revenue, discount, average price, and average discount for each period.

  3. Pricing Analysis—A Pricing Trend chart showing how the average unit price has changed over time, and a Pricing Distribution chart showing the spread of prices across invoice line items to reveal whether pricing is consistent or widely dispersed.

  4. By Provider—A table breaking down each provider's performance with the selected product, including Visit Count, Quantity, Revenue, % Total Revenue, Discount, Avg Net Total, Min/Max Net Total, and Revenue Growth.

Tab 4: Details

Line-item level data for every invoice line item in the selected time period. Use this tab to investigate specific transactions behind any patterns spotted in other tabs, audit pricing and discounts, and verify charges align with your protocols.

Available filters: Invoice Closed At, Product ID, Product Name, Product Name (contains), Product Category, Provider/Doctor, Patient Status, Invoice Type, Is Non Billable.

Each row in the details table includes: Product ID and Name, Line Item ID and Label, Quantity sold, Price charged, Net Total, Discount Class and Discount Amount, whether the item was excluded from discounts, Patient information, Provider/Doctor information, Invoice information, and Account details.


Frequently asked questions

Why doesn't my revenue in this dashboard match the totals in other reports?

This dashboard uses the invoice close date to determine which period a transaction belongs to, and excludes voided line items and reopened invoices. Other reports may use different date logic. Avoid using this dashboard to reconcile against other report totals.

What does "Previous Period" mean in the comparison window?

Previous Period compares your selected date range to the same number of days immediately before it. For example, December 1–31 compares to October 31–November 30, labeled as "October."

Who should I contact if I need access to this dashboard?

Ask your practice administrator to add the analytics_dashboard_revenue_by_product permission to your role.
