End-of-Day Processing: Reports and Scheduling in Instinct EMR

In Instinct EMR, End of Day (EOD) processing uses four analytic reports to verify that payments, revenue, and outstanding balances are accurate before closing out the day. This article covers which reports to review, what to look for in each, and how to schedule them to generate automatically.

Note: Process all payments directly through Instinct EMR to ensure accurate financial reporting.


Before you begin

  • Staff members who perform EOD must have a User Role with the appropriate Analytics permissions for each report. See Create and Assign User Roles for instructions on creating User Roles.


Schedule EOD reports to generate automatically

Scheduling reports ensures they are ready when you begin EOD processing each day, week, or month — so you can open them directly without waiting for them to be generated.

  1. Select Analytics from the left sidebar.

  2. Check the box next to each report you want to schedule. You can select more than one at a time.

  3. Select Change Schedule at the top and choose the schedule (Daily, Weekly, or Monthly) for the selected reports.

  4. Select Save. The reports will now generate automatically on the selected schedule.

Once scheduled, select any report from the list to open the most recently generated version and begin EOD.

Note: Weekly reports cover the Sunday–Saturday period starting after the schedule is saved. Monthly reports start on the first day of the following month — for example, scheduling in October will produce a report covering November 1–30.


Reports to review for EOD

Instinct recommends scheduling all four reports below and reviewing them daily. Weekly and monthly schedules can be added depending on your practice's reporting needs.

Practice Summary Report

A complete summary of your practice's activity for the reporting period. For EOD, focus on the Financial Metrics section, which includes:

  • Total Revenue Invoiced (from invoices closed during the reporting period)

  • Total Payments (excluding deposits)

  • Total Deposits

  • Total Refunds

  • Total Tax Collected

  • Total Discount Amount

  • Total Payments Voided

  • Total Refunds Voided

Transaction Summary Report

Shows the total payments collected for each payment type accepted by your practice. The total payments figure in this report will match the Total Payments figure on the Practice Summary Report. Use this report to verify that cash collected is accurate.

Transaction Details Report

Lists each payment collected during the reporting period. Use this report to locate specific transactions if a discrepancy is found. Each entry includes:

  • Date and time the payment was collected

  • Client name, Patient ID, and Patient Name

  • Transaction Type (Payment, Refund, Voided Payment, Voided Refund)

  • Transaction Method (Credit/Debit, Cash, Check, Care Credit, Other)

  • Credit Card Type (Visa, Mastercard, Amex, Discover)

  • Any notes documented at the time of payment

  • User logged in when payment was collected

  • Paid Amount, Refunded Amount, Voided Paid Amount, and Voided Refunded Amount

A/R Summary Report

Shows account balances across your practice. While most useful when reviewed weekly or monthly to manage ongoing outstanding balances, daily review helps catch new accounts with unpaid amounts before they age.


Frequently asked questions

How do I give a staff member access to run EOD reports?

Create a User Role in Admin that includes the Analytics permissions for each report the staff member needs access to. See the EMR Administrator Guide for step-by-step instructions on creating and assigning roles.

What if the Transaction Summary Report total doesn't match the Practice Summary Report total?

This usually indicates a payment was processed outside of Instinct EMR. All payments must be processed directly through Instinct to keep financial reporting accurate. Use the Transaction Details Report to identify the discrepancy.

Can I generate a report on demand instead of waiting for the scheduled run?

Yes. From the Analytics report list, open any report and select Generate New Report to run it immediately for the current period.
