Manage Checked-In Patients on EMR Go-Live Day (Connected Practices)

In Instinct, connected refers to practices where your PIMS connects to Instinct for check-in and check-out. On your go-live day, your Instinct onboarding team will coordinate disconnecting your old PIMS from Instinct.

What changes when your PIMS is disconnected

When your old PIMS connection is severed, patients who were checked in before go-live will be affected in the following ways:

  • These patients will still appear as synced in Instinct, but they will not automatically check out of Instinct when checked out of your old PIMS.

  • These patients will lose access to the Force Check Out option in Instinct.

  • If your PIMS was connected to Instinct’s Invoicing, that link is now inactive.

  • As a result, you will not be able to apply payments or perform an Account Balance Payoff until:

    • The Instinct team manually checks the patient out

    • The invoice is closed.

  • You will be able to collect an Account Deposit.

Note: Patients who check in after go-live will not be affected by the above. This only applies to patients who were already checked in when your PIMS connection was disconnected.


How to discharge a patient checked in before go-live

When a pre-go-live patient is ready to leave, follow these steps to discharge them correctly in Instinct:

  1. Add a Patient Alert titled: 🚨 Needs Force Check Out

  2. Mark it as a Visit Alert to indicate that this patient requires manual check-out by the Instinct team.

  3. Discontinue their treatments in Instinct.

  4. Move the patient to the Boarding Board so the Instinct team can perform a Force Check Out.

  5. Once the Instinct team has checked out the patient, you can apply payments or deposits to the account balance.

If your practice uses the Cubex integration with Instinct, the patient may also need to be reactivated in MyCubex after discharge.

Note: On the day of go-live, background system changes may take anywhere from 10–60 minutes to finalize. Adjustments may have been made to your product list in anticipation of your EMR transition, which could affect billable items on the patient's treatment sheet. Treatment sheets will remain functional during this time, but you may need to modify billable items after your Instinct team completes the product list updates.


Frequently asked questions

Will go-live affect patients checked in after the PIMS disconnection?

No. The PIMS disconnection will not impact patients who check in through Instinct after go-live.
