Find Migrated Records in Instinct EMR

In Instinct EMR, records migrated from your legacy PIMS appear as native chart documents, files, and visits rather than combined PDFs. This article explains where to find each type of migrated record.

Find migrated visits, chart documents, and files

Migrated visits are displayed on the Charts screen with their original check-in and check-out dates, and each document or file is attached to the visit it belonged to in your legacy PIMS.

  1. Search for the patient and open their record.

  2. Navigate to Chart → Visits.

  3. Select a visit to view the attached documents and files.

Each migrated item keeps its original file name and format. For example, a rabies certificate that was a PDF in your legacy PIMS appears as a PDF in Instinct, with its original file name. Medical notes and lab reports appear as individual chart documents on the associated visit.

Find records that are not tied to a visit

Documents from your legacy PIMS that have no associated visit appear in the Non-Visit Documents section of the patient's chart.

The following migrated records are stored as text in chart documents in this section:

  • Patient diagnoses

  • Patient vitals

  • Patient notes

  • Active and historical prescriptions, in a chart document named Prescription History

Find migrated vaccine and service reminders

Migrated reminders are displayed on the patient's information panel in their chart (left panel with patient and client information) under Reminders.

Each reminder label from your legacy PIMS is also created as a new entry in Admin → Reminder Labels, and contains (Imported) in the label.

Note: Migrated reminders are not directly tied to any vaccine products.

Frequently asked questions

Why are some patient details stored in a chart document instead of a field?

Diagnoses, vitals, and notes migrate as text in chart documents, so the information is preserved exactly as it was recorded in your legacy PIMS.

What if a record is missing or looks incorrect?

Contact support as soon as you notice it. Instinct EMR recommends reviewing migrated data and reporting any issues within the first 2 weeks after go-live.

Which records are not migrated?

See What Data Is Transferred During Migration? for the full list of what is and is not included.
