What Data Is Transferred During Migration

When migrating to Instinct EMR, specific categories of data transfer from your legacy PIMS. This article outlines what is and is not included so your practice can plan accordingly.

What is migrated

The following data categories transfer during migration, subject to availability in your legacy PIMS.

Accounts/pet owners

  • Account records with full demographic data

  • Primary and secondary addresses and emails (if they exist in the legacy PIMS)

  • Contact phone numbers (if they exist in the legacy PIMS)

  • Account alerts

  • Client notes

Patients

  • Patient records

  • Species, breed, sex, and age

  • Patient alerts

  • Patient profile photos (only if they exist as attachments in the legacy PIMS)

  • Patient microchip ID

Users/staff

  • Active employees and providers from the legacy PIMS

  • Providers are assigned the Doctor Class and Doctor and Staff Role

  • Non-providers are assigned the Staff Class and Staff Role

Note: All employees and providers will need a new PIN to access Instinct EMR after migration.

Visit history and clinical records

  • Full visit history with accurate check-in/check-out dates, displayed on the Charts screen

  • Chart documents: individual documents attached to the correct visit, original file names retained

  • Chart files / PDFs: individual files on the correct visit in their original format (for example, a rabies certificate that existed as a PDF will appear as a PDF with its original file name)

  • Medical notes: native chart documents associated with the correct visit

  • Lab reports/results: individual chart documents, original file names retained

  • Non-visit documents: documents with no associated visit appear in the non-visit document section

Appointments

  • Appointment types

  • Future scheduled appointments (those scheduled for the future at the time of migration)

  • Appointment reminders

Vaccines and services

  • Vaccine and service history

  • Vaccine and service reminders: migrated reminders are surfaced on the Snapshot tab and created as new entries on Admin > Reminder Labels

  • Migrated reminders are not directly tied to any vaccine products and contain (Imported) in the label

  • Only reminders scheduled for the future are included

Prescriptions

  • Active and historical prescriptions: migrated to a chart document named Prescription History under the non-visit document section


What is not migrated

The following items do not transfer from your legacy PIMS to Instinct EMR:

  • Account balances

  • Account types

  • Alternate contact information

  • Chart templates

  • Client communications

  • Estimate templates

  • Invoices with line items, payments, and transactions

  • Insurance information

  • Patient diagnoses

  • Patient vitals or weight history (if not contained in a chart document)

  • Products

  • Reports and analytics

  • Referral information


Frequently asked questions

We are a practice group migrating from multiple PIMS. Can you migrate data from different sources into a single Instinct EMR database?

Instinct EMR does not currently support migrating data from multiple sources into a single database. For practices requiring migration from multiple PIMS, separate Instinct EMR databases are recommended.
