Before you begin
You must be listed as a Stockroom User or Practice Admin (this is done during setup) and have the admin_products permission enabled (in Instinct EMR) before you can access Stockroom.
Once a PO has been marked as Received, it can no longer be edited. To check the status of a PO, navigate to Local Inventory → Purchase Orders and review what is in the Status column.
How to add taxes and shipping to a purchase order
In Stockroom, navigate to Local Inventory → Purchase Orders.
Open an existing purchase order that hasn’t been received yet, or create a new one.
Locate the Taxes and Shipping fields at the bottom of the PO.
Enter the tax amount in the Taxes field.
Enter the shipping cost in the Shipping field.
The PO total updates automatically to include both amounts.
Select Add Received to Inventory when done editing the PO. Once you mark the PO as Received, it can no longer be edited.
Frequently asked questions
Do taxes and shipping affect quantity on hand or inventory valuation?
No. Taxes and shipping are cost-only fields on the PO—they do not raise quantity on hand (QoH) or affect inventory valuation. You no longer need to create separate inventory products to account for these costs.
Can I edit taxes or shipping after the PO is received?
No. Once a PO is marked as received, the Taxes and Shipping fields are locked and cannot be changed.
Do these fields appear on existing purchase orders?
Yes, the Taxes and Shipping fields will display on older PO’s, but they will be $0.00 by default.
