Find and Review Your Patient

Getting Started for Doctors: Part 1

Goal: By the end, you can find any patient in seconds and walk into the room already knowing the story.

Why this matters

Before you see a patient, you want the picture. Why are they here, what has changed, what are they on, what happened last time. Instinct puts all of that a few clicks away. This session gets you there fast, so you are never scrambling in front of a client.

Step 1: Find your patient

Three ways to find the patient. The trick is knowing which one to use.

From the Status Board - patient is here now

  1. Open the Status Board. It shows everyone currently at your practice, live.

  2. Find the patient in the Patients column.

  3. Click the three-dot menu on their row.

  4. Select the chart, or jump straight to the section you need.

From the Calendar - patient is coming soon

  1. Go to Business Office. It opens to your schedule for the week.

  2. Find the appointment, or click the magnifying glass to search by name.

  3. Click the three-dot menu on the appointment.

  4. Open the chart.

From Look Up - patient is not here and not coming in soon

  1. Select Look Up from the left sidebar.

  2. Search by patient, client, phone, or ID.

  3. Click the three-dot menu next to the result.

  4. Open the chart.

Tip: Here now = Status Board. Coming soon = Calendar. Neither = Look Up.

Read the board before you open a chart: Two icons earn a look first. Red EKG means critical. Red dot means a treatment is overdue. On a busy board, that is your triage cue.


Step 2: Review the chart

You are in. Get oriented before you see the patient. Two places do the heavy lifting.

  1. Check the patient info bar down the side. Here you can find key details such as patient and visit information, alerts, and the patient’s current weight while continuing to work within their chart.

  2. Open the Snapshot tab for the whole story in one screen. Medications, main problem/diagnosis list, vaccines, and recent history. No clicking through old visits.

  3. Switch the Snapshot view to match the visit. Wellness for routine, Clinical for diagnostics and problems up top, Follow-Up for client communication. The right view puts what you need on top, so you are not hunting.

  4. Select the Chart tab to open the patient’s documentation section. This is where the patient’s medical documentation and chart history are stored, making it easy to review previous records or add new documentation for the current visit.

    • If a patient is currently checked in, you’ll see an Active Visit card outlined in orange. This card represents the patient’s current visit and is where any documentation that has already been started for that visit will appear.

  5. Select the document’s name to open it in a side panel, allowing you to quickly review or edit the documentation without leaving the patient’s Chart.

  6. Select the Vitals tab when you need to quickly review a patient’s recorded vitals without opening a Treatment Sheet. This is especially useful for reviewing intake vitals during an appointment or for patients who do not yet have a Treatment Sheet created.

That is your pre-visit read. Reason for visit, history, meds, where they stand. Right there before you open the door.

Setup: Pull up your test patient.
​​Do: Find them two ways, first on the Status Board, then using Search. Open their chart and switch the Snapshot to Clinical view.
​​Check: Find their main problem and current medications.
​​Done right: You can quickly locate the patient and identify the key clinical information you need before starting their visit.
