In Instinct EMR, a boarding appointment calendar lets you track boarding reservations by kennel type, so you can see at a glance how many kennels are available for drop-off. Before scheduling a boarding reservation, set up your kennel types, group them, and create time slot templates that define how many kennels are available each day.
Add kennel types as staff users
Add each kennel type you offer for boarding (for example, Cat Condos, Boarding Cages, and Boarding Runs) as a staff user. This creates a separate column for each kennel type on the appointment calendar.
Go to Staff and create a new staff user for each kennel type.
Enter a Name for the kennel type (for example, Boarding Cages).
Enter Initials to identify the kennel type (for example, BOCAGES).
Set the Role and Class to Staff.
No one will be logging in to this user, so the PIN just needs to be unique.
Repeat these steps for each kennel type you want to track separately on the calendar.
Group kennel types together
Create a Staff Group so all of your boarding kennel types can be scheduled and viewed together.
Create a new group and enter a Label (for example, Boarding) and an Abbreviation (for example, Board).
Under Members, select each kennel type staff user you created (for example, Cat Condos, Boarding Cages, and Boarding Runs).
Drag kennel types in the Provider Order list to set their order on the calendar.
Click Save.
Create a time slot template for each kennel type
A Time Slot Template defines how many spots are available for a kennel type on a given day.
Create a new time slot template and name it after the kennel type (for example, Boarding: Cat Condos).
Enter the number of Available Drop-offs for that kennel type (for example, 5).
Click Save.
Repeat this for each kennel type so each has its own capacity limits.
Apply time slot templates to the calendar
Once a time slot template exists for a kennel type, apply it to all of the calendar days you want it to cover.
Next to the time slot template, select Apply to Calendar.
Under Calendar, select the staff user that corresponds to the kennel type you created. Do not select the entire group, as each kennel size has its own availability.
Under Days, use Bulk Select to choose All Weekdays or All Days. You can select availability up to 365 days in the future.
Click Apply.
Repeat this for each time slot template for each kennel type.
