Before you begin
Access to the Taxes section is not granted automatically. An admin user must assign the admin_taxes permission to the appropriate user role before a user can view, create, or manage tax classes.
To assign the permission, go to Admin → Staff → Manage User Roles, select the relevant role, and check the box next to admin_taxes. If you do not see this permission listed, contact [email protected].
Create a new tax class
Navigate to Admin → Practice → Taxes to open the Taxes admin screen, where you can view and manage all existing tax classes.
Select + New Tax Class in the upper right corner.
Enter a Name for the tax class (required).
Enter an Abbreviation (optional).
Enter a Rate as a percentage (required). The rate field accepts up to 3 decimal places and must be greater than 0.
Set an Application Date. This defaults to the current date and time, but a past or future date can be selected. The Application Date controls when the rate is applied to invoice line items.
Select Save.
Once saved, the tax class appears on the Taxes admin screen and is available to assign to products.
Note: For practices with multiple locations, you can configure different tax rates per location. When entering a rate, select either All Locations or a specific location. Invoices will automatically apply the rate for the location where the visit takes place. Existing single-location practices are not affected by this setting.
Edit an existing tax class
To update a tax class, open the Taxes admin screen and either select the tax class name directly or use the three-dot menu next to it and select Edit.
Editing a tax rate will change the rate on active and future invoices based on the Application Date. Past invoices for checked-out patients will never be affected by tax class revisions.
If a product with a tax class is on an active invoice and the tax rate is updated with a future Application Date, the current invoice will not be impacted—it will retain the previous rate until the Application Date passes.
Reopening a visit will not adjust line items to a new rate. To adjust tax rates on a previous invoice, contact [email protected].
Delete a tax class
To delete a tax class, use the three-dot menu next to the tax class name and select Delete.
Deleting a tax class automatically removes the tax rate from any products it was associated with.
Past invoices are not affected—line items on past invoices will still show the tax class rate that was applied at the time.
Active and current invoices that include line items with the deleted tax class will have taxes removed from those line items.
Frequently asked questions
Can I apply different tax rates to different locations?
Yes. When creating or editing a tax class rate, select a specific location or choose All Locations. Invoices will apply the rate for the location where the visit or invoice was created.
Will changing a tax rate affect past invoices?
No. Past invoices for checked-out patients are never affected by tax class changes. Only active, current, and future invoices are affected, as determined by the Application Date.
What happens if I delete a tax class by mistake?
Contact support as soon as possible at [email protected]. Active invoices will have taxes removed from any line items associated with the deleted class.
