Set Up Per-Location Pricing for a Product

In Instinct EMR, Multi-Location Pricing (MLP) lets you manage a product in one place while setting the price, dispensing fee, and availability separately for each of your locations.

Before you begin

  • You must have the admin_products permission to create and edit products in Admin → Inventory → Products.


How multi-location products appear in the product list

In Admin → Inventory → Products, a multi-location product shows two differences from a single-location product:

  • The Price column shows Varies instead of a single price because each location can have its own price.

  • The Active In column shows the number of locations where the product is active, with a green checkmark.


Create a multi-location product

Create a new product as you normally would. Once saved, you can customize the product per location.

  1. Go to Admin → Inventory → Products and click + New Product.

  2. Enter a Name and unique PIMS ID, and select a Class from the drop-down. Click Save.

  3. Fill in the remaining fields in the product setup window, including Tx Category, Formulation Unit, and the Active, Billable, and Controlled Substance toggles. These values become the default across all locations until you customize pricing per location.


Pricing and Details tabs

Once a product is created, search for it and open it to edit. You'll see two tabs: Pricing and Details.

The Pricing tab lists every location in your practice, with columns for Active status, Unit Cost, Selling Price, the Fixed toggle, Dispensing Fee, Min Price, and Max Price. All locations appear here, whether or not the product is active there: a checkmark in the Active column means the product is available at that location, and a dash means it isn't.

The Details tab holds the product's shared configuration, including Name, PIMS ID, Class, Tx Category, Formulation Unit, Controlled Substance, Notifications, Invoicing tags, Tax Classes, and Advanced Ordering defaults. Changes here apply to the product everywhere, not to a single location.


Edit pricing for one or more locations

  1. On the Pricing tab, select the checkbox next to each location you want to update. You can select a single location or several at once.

  2. Click Edit. The button label updates to show how many locations are selected, for example, "Edit (2)."

  3. Update the settings for the selected location(s)—a confirmation at the bottom of the dialog lists which location(s) will be affected.

  4. Click Save. The Pricing table updates for the location(s) you edited; other locations are unaffected.

Note: To make a product unavailable at a specific location without removing it from the system, toggle Active Product off for that location. See Activate/Deactivate Products by Location.

Frequently asked questions

Why does the product list show "Varies" for price?

This appears whenever a product's price differs across two or more locations. Open the product's Pricing tab to see each location's price.

Why do I only see some products when searching the treatment sheet?

The Tx Sheet search only shows products active for a visit's current location, and displays that location's price.

Can I change availability without deleting a product?

Yes. Use the Active toggle for each location on the Pricing tab. The product stays in the system and remains active everywhere else. See Activate/Deactivate Products by Location.
