Before you begin
Active or inactive status for a location can't be changed from Stockroom. This is managed only in Instinct EMR; Stockroom displays it for visibility. See Set Up Per-Location Pricing for a Product for details on changing the status of a product per location.
View the product catalog
In Stockroom, navigate to Admin → Catalog to view your product list. There is an Active In column with a green checkmark and the number of locations where the product is active.
Click the expand arrow on any row to see a per-location breakdown, including Location, Buying Cost, Buying Unit, Sell Unit, Priority, QOH Min, QOH Max, Selling Price, Dispensing Fee, Min Price, Max Price, and Active status.
For product groups, expanding the row shows the individual products in the group as sub-rows, each with its own PIMS ID, product name, and Active status.
Edit a single product
Click Edit in the 3-dot menu of a product to open its detail view.
The Overview section at the top holds attributes shared across all locations: Name, Manufacturer, Supplier, and Inventory Tags. Click Edit in that section to change them.
Below Overview, the Location Properties table shows per-location attributes, including Buying Cost, Buying Unit, Unit Cost, Selling Unit, Priority, Min Quantity, Max Quantity, Selling Price, Dispensing Fee, Min Price, Max Price, and Active.
Select the checkboxes for one or more locations you want to edit. The Edit button updates to show the number selected, for example, "Edit (1)."
Click Edit to open the editing dialog.
Make your changes and click Save. Only the locations you selected are updated.
Edit a product group
Product groups have two layers of per-location configuration.
The Group Details section at the top holds attributes shared across all locations: Name, Manufacturer, Supplier, and Inventory Tags. Click Edit to change them.
Below that, Location Properties: Group Settings covers per-location buying attributes: Buy Cost, Buy Unit, Unit Cost, Conversion, Priority, Min Quantity, and Max Quantity. Select locations, click Edit, make your changes, and click Save.
Location Properties: Variation Settings covers per-location selling attributes for each product in the group. Each product has its own tab that shows Sell Unit, Selling Price, Dispensing Fee, Min Price, Max Price, Markup %, Fixed Price, and Active.
Click the tab for the product you want to edit.
Select the checkboxes for one or more locations.
Click Edit, make your changes, and click Save.
Local Inventory
In Stockroom’s Local Inventory section, only products active at the selected location appear. Products that are inactive at a location are automatically excluded from that location's inventory view.
Frequently asked questions
Can I activate or deactivate a product for a location from Stockroom?
No. Active status is managed only in Instinct EMR. Stockroom displays it for visibility. See Set Up Per-Location Pricing for a Product for details on changing the status of a product per location.
What's the difference between Overview and Location Properties?
Overview (or Group Details, for product groups) holds attributes shared across every location. Location Properties holds the pricing and inventory attributes that can vary by location.
