Understand appointment trends over time, including breakdowns by service, provider, patient species, and appointment cancellations and no shows.

The Appointments Overview dashboard allows you to gain a clear, centralized understanding of appointment activity within your practice. The dashboard highlights key trends and breakdowns – by service, provider, and appointment outcomes (cancellations or no-shows) so you can:

  • Validate patient care needs and anticipate demand.

  • Train and coach staff using real-world scheduling insights.

  • Optimize resource allocation and staffing decisions.

  • Identify opportunities to improve patient experience and reduce missed appointments.

Questions the Dashboard Can Answer:

By Service & Appointment Type

  • How many appointments were scheduled, completed, canceled, or missed for each service?

  • Which services are most in demand during a specific timeframe?

By Provider/Doctor

  • How is appointment volume distributed across providers?

  • Which doctors or teams are seeing the highest patient load?

By Duration & Frequency

  • How many short vs. long appointments were scheduled?

  • What are the daily, weekly, and monthly trends in appointment counts?

Cancellations & No-Shows

  • How many appointments were canceled, confirmed, or no-showed?

  • Which services or times of day are most affected by cancellations?

Day-of-Week & Timing Patterns

  • What percentage of appointments occur on each day of the week?

  • Are there patterns in appointment type or cancellations by day?

Patient & Appointment Details

The Appointments Overview dashboard consists of 5 main tabs:

  1. Summary Tab: Top-level appointment counts and trends by status

The Summary Tab gives you a quick snapshot of appointment activity so you can see both totals and trends at a glance. This tab is broken down into two main sections:

  • Headline: Top-level appointment counts, including average by week. You will see:

    • Accounts with Appointments: How many client accounts currently have upcoming appointments

    • Patients with Appointments: How many individual patients are scheduled

    • Appointment Count: Total number of appointments in the selected timeframe

    • Average Appointments: The average number of appointments per account

  • Trend: Appointments by week with a breakdown by status. You will see the following:

    • Appointment Trend: How appointment counts are changing week by week

    • Appointments by Status: Breakdown of appointments into Active, Cancelled, and No Show

    • Appointment Trend by Status: How those statuses shift over time, with a visual comparison

    • Detailed Status Table: Raw numbers for Active, Cancelled, and No Show appointments by date

  1. Breakdown Tab: Compare appointment counts by provider, appointment type, and service.

The Breakdown Tab allows you to drill deeper into appointment data by comparing results across key categories such as provider, appointment type, and service. By highlighting both volume and reliability (through cancellations and no-shows), this tab helps you understand not just how many appointments are being booked, but also how consistently they are kept.

In this view, you can:

  • See how appointment counts are distributed across different providers, appointment types, and services.

  • Identify which providers or services handle the highest or lowest appointment volumes.

  • Track the percentage of cancellations and no-shows for each provider, appointment type, and service, giving you insight into where scheduling challenges may occur.

  1. By Day & Hour Tab: Appointment trends by day and hour, by service, and appointment type

The By Day & Hour Tab provides a detailed view of appointment patterns, helping you understand when appointments are most likely to occur and what types of services are most in demand at those times. By combining time-based and service-based views, this tab helps you match demand with availability and uncover opportunities to improve efficiency and client experience.

In this tab, you can:

  • View appointment trends by day of the week to identify which days are busiest or slowest.

  • Analyze appointment activity by hour of the day to pinpoint peak times and quieter periods.

  • Break down these trends further by service and appointment type, giving you a clear picture of which services are most commonly scheduled at specific times.

  • Use these insights to adjust staffing levels, optimize scheduling, and improve client flow throughout the day and week.

  1. Duration Tab: Gives you insight into how appointment lengths impact scheduling and provider workload.

The Duration Tab is especially valuable for planning resources, evaluating provider efficiency, and ensuring that appointment durations align with both client needs and clinic capacity. By combining duration data with provider and service comparisons, this tab helps optimize time management and improve overall scheduling effectiveness.

In this tab, you can:

  • See the distribution of appointment counts by scheduled duration, helping you understand how often shorter vs. longer appointments are booked.

  • Review average daily appointment hours by provider and day of the week, which highlights workload balance and helps identify potential scheduling bottlenecks.

  • Use the Breakdown section to compare hourly averages by week across providers, appointment types, and services, making it easier to spot trends or imbalances.

  1. Details Tab: Detailed information of the appointments used in the various tabs based on the selected reporting period.

📔Please Note: The Appointment Start Time and Duration in Minutes on the Details tab represent when the Appointment was scheduled for and how long it was scheduled to last when the appointment was made; this is not when the patient was actually seen for the appointment or how long the appointment actually lasted.
