The Visits Overview Dashboard provides a centralized view of patient visit activity, offering both high-level trends and detailed visit information in a single place. Its primary purpose is to help you track visit patterns over time, making it easy to identify the busiest days of the week, monitor visit counts by service, and spot shifts in patient demand. By surfacing these insights, the dashboard supports more informed decision-making around staffing and resource allocation, ensuring that team capacity aligns with patient care needs. In addition to operational planning, the dashboard can also be leveraged for research and case study purposes, offering a reliable source of data to analyze patient flow, evaluate care standards, and explore opportunities for improving medical care practices. By combining trend analysis with granular visit details, the Visits Overview Dashboard equips your team with the tools to optimize efficiency, maintain high-quality care, and better prepare for future demand.

Questions the Dashboard Can Answer:

  • What are the visit counts by status at patient check-in during a selected timeframe?

  • How many visits occurred by day, week, or month within a selected timeframe?

  • What are the visit counts by service during a selected timeframe?

  • Which patient visits occurred during a selected timeframe for a specific reason for visit?

  • Which patient visits during a selected timeframe are associated with resolved or unresolved diagnoses?

  • How do visit counts break down by patient demographics—such as age, species, breed, and sex—within a selected timeframe?

Staff with the permission to access analytics_dashboard_visits_overview assigned to a role will have access to this dashboard in Analytics.

The Visits Overview dashboard consists of 2 tabs, Summary and Details.

  1. Summary Tab

The Summary tab offers a high-level view of patient visit activity, consolidating the most important metrics into one place for quick analysis. It provides an overview of visits by status (Outpatient, Inpatient, Boarding, and On the Way) so you can easily see how different types of visits contribute to overall patient flow. The tab also highlights the number of visits by day of the week, helping you pinpoint the busiest days for scheduling and resource planning. A daily visit trend is displayed to show how patient volume fluctuates over time, while additional breakdowns reveal visit counts by hour of the day and by service, offering insight into peak times and areas of care with the greatest demand. Finally, the visit count by service view allows you to compare activity across departments, ensuring visibility into where patients are being seen most often. Together, these metrics provide a clear snapshot of visit distribution and patterns, making the Summary tab a valuable tool for both operational management and strategic planning.

  1. Details Tab

The Details tab provides a comprehensive record of every patient visit within the selected reporting timeframe, allowing you to drill down into the specifics behind the summary metrics. For each visit, you can review check-in and check-out dates and times, which give clear visibility into the duration and flow of patient stays. The tab also surfaces the diagnosis list, including both resolved and unresolved diagnoses, offering valuable clinical insights into patient outcomes and ongoing care needs. You can see which status board the visit was associated with, the provider responsible for the case, and the service under which the visit was categorized, ensuring accountability and proper tracking of care delivery. In addition, the tab includes detailed patient and account information alongside the documented reason for visit, making it easy to connect medical context with administrative and financial records. By consolidating all of these data points, the Details tab serves as a powerful resource for auditing visits, analyzing patient care patterns, and supporting both clinical and operational decision-making.
