Estimate Signatures: Send and Collect Digital Signatures Remotely

In Instinct EMR and Instinct EMR for Primary Care, you can email an estimate directly to a pet owner so they can review and sign from any device. Once signed, the signature is automatically recorded on the estimate and immediately visible to all staff.


Send an estimate for remote signature

  1. Navigate to the estimate you want to send.

  2. Click Complete → Sign and complete.

    Click Complete at the bottom left of the invoice

    Selecting Sign and complete will open the side pane to select (or type) a client email

  3. Confirm or enter the client's email address. The email addresses on file for the account are pre-populated by default. You can select from the list or type a different address.

  4. Click Send Signing Link. The client receives an email with a link to review and sign.

  5. After sending, the estimate panel displays a confirmation showing the send time, the email address used, and how long the link remains valid.

  6. Click Resend Email to send a new link to the same address or a different one.

Note: The signing link expires after 48 hours. If the link expires before the client signs, the estimate panel displays a notification with an option to resend. There is no automatic follow-up reminder—staff must resend manually if needed.


What the client experiences

  1. The client receives an email with a subject line indicating their estimate is ready for review.

  2. Clicking the Review & Sign Estimate link opens a mobile-friendly page showing the full estimate details.

    The mobile-friendly estimate page allows the client to scroll through the estimate and type their name to approve the estimated charges.

  3. The client reviews the estimate and enters their name to generate a digital signature directly on the page.

  4. After submitting, the client sees an on-screen confirmation that their signature was received.

  5. The client receives a follow-up confirmation email with a PDF copy of the signed estimate attached.


View a completed signature in Instinct

  1. Navigate to the estimate in Instinct.

  2. Once the client signs, the signature is automatically recorded—no manual step required.

  3. View the signature status directly from the estimate panel.

  4. If the client clicks the signing link after already signing, they see a message confirming that the estimate has been signed and directing them to contact the practice with any questions.


Update an estimate after sending (before the client signs)

If the estimate needs changes after the signing link has been sent and the client has not signed yet, the status is listed as Completed and changes can still be made.

  1. Click Undo Complete on the estimate.

  2. Make the necessary updates.

  3. Resend the estimate for signature.

The original signing link is deactivated while the estimate is in edit. The client will see a message indicating updates are in progress if they try to open the old link.

When an estimate is being edited, clients will see “This estimate isn’t ready to sign yet” when selecting the signing link


Frequently asked questions

What happens to the signature after the client signs?

The completed signature is automatically recorded on the estimate in Instinct and immediately visible to staff. No additional action is required.

What email address does the estimate get sent to?

By default, the email addresses on file for the account are pre-populated in the dropdown. Staff can select from the list or manually type a different address before sending.

Can I send the estimate by text message instead of email?

No. SMS delivery is not supported in this release. Email is the only available delivery method at this time.

Can the client decline individual line items?

No. Clients can review the full estimate and sign, or choose not to sign. There is currently no option to decline individual line items.

Can the client request changes through the signing page?

No. The signing page is view-and-sign only. If a client wants revisions, they should contact the hospital directly. Staff can update the estimate in Instinct and resend.

Can multiple clients sign the same estimate?

No. The estimate is sent to a single email address and is signed by a single recipient in this release.

What if the client never signs?

The estimate remains unsigned in Instinct and the link expires after 48 hours. Staff can resend manually at any time.
