The Practice Library is a shared document hub in Instinct EMR and IPC that lets your team store, view, and manage hospital documents, protocols, forms, reference guides, and more in one central location. Documents are scoped to your hospital location, so staff see only the files relevant to their site.
Before you begin
All staff can view and open documents in the Practice Library
Users with the manage_practice_library can add, edit, and delete documents
Users without the manage_practice_library permission will not see the Add Document option.
Contact your practice administrator to request the manage_practice_library permission if you need it applied to your role.

Finding the Practice Library
Select Library from the main navigation menu on the left side of the screen.
The library displays all documents uploaded for your location. Documents from other locations are not visible.
Uploading a document
Click Add Document in the Practice Library.Select a file from your device, or drag and drop it onto the upload area.
Name the document, select a Category: Clinical Protocols, Staff Procedures, Reference Materials, or Training & Onboarding, and Status: Active or Draft.
Select Add Document, and the document will appear in the library automatically.
Supported file types: PDF, DOCX, XLSX, PNG, JPG, GIF. Maximum file size: 21 MB.

Searching and filtering documents
Type in the search bar at the top of the library to find documents by title. Use Filters and Sort controls to narrow results.
Click Clear Filters to reset to the default view.
Note: Filters and sort order reset when you navigate away from the library or reload the page—they are not saved between sessions. |
Previewing and editing a document
Click the preview icon, the three-dot menu, or the document name to open it in the previewer.
Click Open in Side Pane to expand the document and access its properties.
To edit a field while in the side pane, make your changes and select Save.
Only users with the manage_practice_library permission can edit document properties.
Deleting a document
Open the document in the side pane.
Click the three-dot menu in the lower right, then select Delete.
You are redirected back to the library after deletion.
Note: You can re-upload a deleted document at any time as long as it is still on your workstation. |
Frequently asked questions
Who can add, edit, or delete documents?
Users with the manage_practice_library permission. All other staff can view and open documents, but cannot upload, edit, or delete.
What file types can I upload?
PDF, DOCX, XLSX, PNG, JPG, and GIF. Files must be 21 MB or smaller—other file types are rejected at upload.
Why can't I add or edit documents?
You need the manage_practice_library permission. Contact your practice administrator to have it added to your role.
Can users from other locations see my documents?
No—documents are scoped to each location. Staff at other sites cannot see your location’s library.
What happens when I delete a document? Can I get it back?
Deleted documents are soft-deleted, so the original file is preserved. You can re-upload the same file at any time as long as it is still on your workstation.
Are uploaded files scanned for viruses?
No. Upload files from trusted sources.
