Our Virtual Go-Live Program provides the same guidance and support you would receive during an on-site implementation, delivered remotely by our experienced team. From preparation and training to your first patients and beyond, we'll be with you every step of the way to ensure a smooth transition.
What Is a Virtual Go-Live?
A Virtual Go-Live allows your practice to launch Instinct with our team's support, without requiring on-site staff.
Throughout go-live, you'll have:
Screen sharing and troubleshooting via Zoom
Access to Instinct Support Chat 24 hours a day
Scheduled check-ins with your Onboarding Manager
Our goal is to make your virtual experience feel just like having an Instinct expert in your practice.
What You'll Need Before Go-Live
To ensure everything runs smoothly, please prepare the following:
Dedicated Laptop
Have a laptop available during go-live for live Zoom support.
Zoom Access
You'll receive a unique Zoom link that will be used throughout go-live for:
Video meetings
Screen sharing
Live questions
This link can also be opened on multiple devices if needed.
Instinct Support Chat
Every staff member can access our built-in Support Chat directly inside Instinct at any time, day or night. While logged in to Instinct, click Help → Support Chat in the lower left corner of the side pane to speak with a team member or to search for articles.
How to Prepare Your Team
Successful go-lives begin well before launch day.
Communicate Early
Keep your team informed by:
Sending regular announcements
Posting reminders throughout the practice
Building excitement about the upcoming transition
Learn with Instinct Academy
Instinct Academy is Instinct's online learning platform designed to help veterinary teams learn how to use Instinct effectively. It provides on-demand training courses for every role in the practice, including administrators, veterinarians, technicians, and front desk staff.
Assign Key Roles
Identify the following team members before launch:
Go-Live Captain
Your primary superuser, who coordinates the transition and ensures staff is prepared.
Medical Lead
Typically, a Medical Director or Lead Veterinarian who oversees medical workflows and documentation during the transition.
Additional Superusers
Schedule experienced team members across all shifts to help answer questions and support coworkers.
Administrators
Designate users who will manage system configuration and attend advanced administrative training.
Technical Preparation
Before go-live:
Install Instinct on every workstation.
Test logins after your database becomes available.
Verify all label printers for Instinct EMR.
Set up TV Status Boards if your practice will use them.
Distribute secure sign in credentials to every staff member.
If you work with an outside IT company, complete installation and testing at least two weeks before go-live.
The Day Before Go-Live
Complete these final preparations:
Review appointment workflows.
Verify your Status Boards are ready.
Move any test patients to the Boarding Board.
Confirm TV displays are functioning correctly.
Ensure all superusers know their responsibilities.
What Happens on Go-Live Day?
Your day begins with a kickoff meeting in your dedicated Zoom room.
During the day, our team will help you:
Answer questions
Demonstrate workflows
Troubleshoot issues
Support staff as they begin using Instinct
If you're transitioning hospitalized patients, we'll work with your leadership team to develop a safe, organized plan that minimizes disruption and reduces the risk of duplicate treatment documentation.
Support After Go-Live
Our partnership doesn't end after launch. Following go-live, we can provide:
Workflow optimization
Additional staff training
Best practice recommendations
Ongoing Support Chat assistance
Many practices also establish an internal workflow committee to review feedback, improve processes, and continue optimizing their Instinct use over the first several months.
