You can upload files such as referral records, diagnostic result forms, or previous vaccine histories to a patient’s chart in Instinct. Files can be added to the Visit Card, Non-Visit section, or Documents page by either:
Dragging and dropping the file onto the document screen, or clicking the “Upload Document” button and selecting the file.
Editing file details and rVet sharing
When uploading a new document, you can:
Edit the file name or type to ensure it’s accurately labeled.
The rVet Sharing toggle is ON by default, which shares the document with the referring veterinarian.
To prevent sharing, simply move the toggle to the OFF position.
Note: Uploaded document file types are for labeling and organizational purposes only—they don't affect how the file is processed or shared.
How to void a document
If a document is uploaded by mistake to a patient’s chart, you can click the three-dot menu next to the document and select “Void.” This does not delete the document, but it will:
Automatically hide the document from view.
Make it inaccessible via Shareville.
Prevent it from being included in a full record download.
If you need to restore a previously voided document, you can use the three-dot menu and select “Undo Void.”
Tip: To see voided documents, toggle “Hide Voided” OFF.
File upload requirements
When uploading documents to a patient’s chart, please keep the following in mind:
File size: Must be under 100 MB.
Accepted file types:
.txt,.pdf,.docx,.xlsx,.zip,.png,.jpg,.gif,.mp4,.h264,.h265,.mp3,.m4a,.aac,.mpeg,.wav,.dcmFile name length: The length of the file name does not affect the upload process.
To view an uploaded document, simply click on the document name and the file will automatically open a media preview for a quick look at the document contents.
Left ◀ and right ▶ icons help you effortlessly navigate through the uploaded attachments in patient attachments or all of the uploaded documents in the individual visit.
If you’d like to open the file outside of Instinct, simply click on the download 🔽 icon in the open preview window.
Or select Download in the 3-dot menu next to the document.
Media File Preview
Audio and video files can be previewed only in the Chrome browser.
DICOM image files are not currently supported for media preview.
