The Stockroom feature in Instinct helps your hospital maintain accurate inventory tracking and management. One key function of this system is depletions, which automatically reduce the quantity on hand (QoH) for items as they are used in treatments, prescriptions, or other services. This document will explain how depletions work and their importance in maintaining an up-to-date inventory.
What Are Depletions?
Depletions are the automatic reduction of stock quantities when items are used or dispensed during patient care. When depletions are enabled, Instinct ensures that inventory counts are kept current without requiring manual adjustments for each use.
How Depletions Work
Enrollment in Stockroom:
Items must first be enrolled in the Stockroom to enable depletions.
Each enrolled item is linked to a billing code or product name, ensuring that usage is tracked correctly.
Triggering Depletions:
Depletions occur in the following scenarios:Treatments: When a treatment involving a stock item is administered and marked as completed in the Tx Sheet.
Prescriptions: When medication is prescribed and dispensed to a patient.
One-Off Usage: When an item is used outside of a scheduled treatment and logged manually using the One-Off.
Invoice: When an item is added directly to the invoice.
Real-Time Updates:
When an item is used, the system immediately deducts the used quantity from its QoH.
This ensures that your inventory reflects real-time usage, preventing overstocking or shortages.
