✨ Getting Started
Your hospital does not need to have a Mixlab account before using it, as sending your first prescription automatically creates and fully sets up a Mixlab Pharmacy account for your hospital.
💡Pro Tip: Instinct will automatically send your hospital’s address and primary email to Mixlab Pharmacy, ensuring each prescription is correctly associated with your hospital.
There is no permission needed to draft a prescription for Mixlab Pharmacies. However, you will need the permission approve_scripts added to one of your roles to digitally approve and send the prescription.
Prescribing doctors will also need to have a valid state license number in their staff profile. To add this to their staff profile, go to Admin > Staff and search for the doctor. Click on the doctor’s name to open the editing module and enter their license number in the State License # field.
📝 Creating a Prescription
To create a Mixlab Pharmacy prescription, open the patient’s Rx panel by clicking the Rx icon at the top of the screen.
In the Rx panel, click on Script, then choose Mixlab from the drop-down menu.
⚡ Please note: The first time you create a Mixlab prescription, an electronic prescribing notice will be displayed stating that Instinct EMR does not support electronic prescribing of controlled substances, as defined by federal and/or state laws. You are solely responsible for verifying whether a medication is classified as a controlled substance in your jurisdiction. Click on I Understand to continue.
Search and choose from available medications within the Mixlab Pharmacy catalog in the Product Name field. Next, choose the appropriate Strength & Quantity for your patient. The available strengths reflect what is offered in Mixlab’s catalog, and the quantity represents the package size in which the medication is sold. If applicable, you will be asked to choose a flavor as well.
You can allow substitutions by turning on the approved toggle. Enter the Instructions for the prescription and add a Pharmacy Note if needed. Then enter the Total Qty, which represents the total number of packages you want to order based on the selected Strength & Quantity. For example, if you select 20mg (60ea) and enter 2 for the total quantity, you are ordering two bottles that are 60ct each.
Enter the number of Refills or toggle PRN refills on. You can adjust the Prescription Expires date as needed.
The patient’s Weight will automatically populate from the current visit. If no weight has been recorded for the visit, or if the patient has been checked out, you will need to enter the weight manually.
Next, select the prescribing Provider and Reason(s) for Prescription, selecting as many reasons as applicable. Follow this by entering the Compounding Reason and any Compounding Details.
The owner’s contact information will populate automatically and must include both a phone number and an email address. If either is missing, an error will display when approving the prescription. MixLab will use this contact information to reach out for fulfillment and payment of the prescription.
If you do not have the approve_scripts permission, you can now click on Create Draft Rx.
This will place the prescription in a To Approve status.
If you do have the required permission, you will be able to type your full name to digitally sign the prescription. Be sure to check the box to confirm that you understand you are legally signing this prescription, acknowledge that Instinct EMR does not support electronic prescribing of controlled substances, and confirm that the drug is not a controlled substance in your jurisdiction. Click on Approve & Send to send the prescription to Mixlab. The prescription will now be in an Approved status.

Navigate to the patient’s Rx panel and locate the prescription under the Pending Prescriptions category. Click the 3-dot menu in the upper right corner of the prescription card and select Approve & Send or click on the approve icon on the prescription card.
You will be able to review the prescription and make any necessary adjustments. Once you are done reviewing, type your Full Name in the text box to digitally sign the prescription. Be sure to check the box to confirm that you understand you are legally signing this prescription, acknowledge that Instinct EMR does not support electronic prescribing of controlled substances, and confirm that the drug is not a controlled substance in your jurisdiction. Then click on Approve & Send. This will move the prescription card into an Approved Status.
☑️ Approving a Prescription on Behalf of a Provider
📓 Please Note: To approve a prescription in the To Approve status, you must have the permission approve_scripts associated with one of your roles.
If you have the appropriate permission, you can approve and send prescriptions on behalf of the prescribing provider. To do this, navigate to the patient’s Rx panel and locate the prescription under the Pending Prescriptions section. Click the 3-dot menu in the upper right corner of the prescription card and select Approve & Send or click on the approve icon on the prescription card.
Review the prescription details and make any necessary adjustments. Once you are done reviewing, digitally sign by typing your Full Name in the text field under Signing on behalf of. Be sure to check the box to confirm that you understand you are legally signing this prescription, acknowledge that Instinct EMR does not support electronic prescribing of controlled substances, and confirm that the drug is not a controlled substance in your jurisdiction.
Finally, click on Approve & Send. This will move the prescription into an Approved status.
⛔ Voiding a Prescription
Mixlab prescriptions that have a status of To Approve, Approved, or At Pharmacy will display the option to void. To void a prescription, click the 3-dot menu in the upper right corner of the prescription card and select Void.
You will be required to enter a reason for voiding the prescription. Once the reason is entered, click on Void Prescription. This will move the prescription card down to the Voided Prescription section and the status on the card will be Voided.
🚨 Please Note: Once a prescription has been voided, it can not be unvoided. You will need to create a new prescription.
🛑 Discontinuing a Prescription
Prescriptions that have a status of Filled will display the option to discontinue.
To discontinue a prescription, click on the 3-dot menu in the upper right corner of the prescription card and select Discontinue.
You will be required to enter a reason for discontinuing the prescription. Once the reason is entered, click on Discontinue Prescription. This will move the prescription card down to the Discontinued Prescription section and the status on the card will be Discontinued.
🚨 Important: Discontinuing a prescription will only discontinue it in Instinct. To cancel the prescription with Mixlab, please email them directly at [email protected] or text (888) 901-4480.
📃 Audit Log
All status and event history can be viewed in the Prescription Log by clicking the 3-dot menu in the upper right corner of the prescription card and selecting View Log.
The Prescription Log includes timestamps and the staff member’s name who performed each action, whether from your hospital or Mixlab.
Available Status and Definitions
To Approve | A draft prescription has been created and is awaiting approval |
Approved | The prescription has been approved and sent to MixLab |
At Pharmacy | The prescription has been received by Mixlab |
Filled | The prescription has been filled and is either waiting for shipping or is en route to the pet owner |
Dispensed | The prescription has been delivered to the pet owner |
Out of Stock | The prescribed medication is currently out of stock at MixLab |
Problem Reported | There is an issue with the prescription that requires communication between the prescribing doctor and MixLab |
Problem Solved | A previously reported issue has been resolved by MixLab |
On Hold | Mixlab is waiting for the client to pay for the new prescription |
Refill Declined | The client declined to fill any available refills |
Cancelled | The prescription has been cancelled |
Prescription cards with the status of To Approve, Approved, At Pharmacy, or Filled will be displayed in the Rx panel under the Pending Prescription section. Once the client has received the prescription, the prescription card status will change to Dispensed and it will automatically move into the Active Prescription section.
