Managing Users in the Instinct Payments Portal

In Instinct Payments, Organization Admins can invite team members to the payments portal and assign them one of four roles based on the level of access they need.

Before you begin

  • You must be an Organization Admin to invite new users through the Instinct Payments portal.


Understand the available user roles

Choose the role that matches the level of access the person needs.

Organization Admin — Full access

Organization Admins can manage all merchant accounts, configure payment settings, view and manage all transactions, generate statements and reports, and manage organization users and permissions.

Merchant Admin — Assigned merchants only

Merchant Admins can process payments for their assigned merchants, edit merchant contact info and email notification settings, and view and manage transactions and reports for their assigned merchants. They cannot manage users or access merchants to which they are not assigned.

Finance — Financial operations

Finance users can initiate payments, void or refund transactions, view and submit chargeback information, manage bank account information, access capital and cash-out features, manage saved payment methods and surcharges, and view dashboards and merchant stats. They cannot manage users.

Customer Support — Payment assistance only

Customer Support users can view payments, initiate payments, void or refund transactions to assist customers, view and submit chargeback information, and edit merchant contact info and email notification settings. They cannot access reports, access financial data, or manage users.


Invite a new user to the payments portal

  1. Log in to the payments portal at payments.instinctvet.com

  2. Open the menu in the top-left corner, then click Users.

  3. Click Invite in the top-right corner of the Users page.

  4. Enter the user's Name and Email.

  5. Select the appropriate role from the Role drop-down.

  6. If the role is not Organization Admin, also select the appropriate Merchant Location.

  7. Click Send Invite.

The user will receive an email invitation. They must click Accept Invitation to proceed, then create a password and complete multi-factor authentication (MFA) to gain access.

Note: The invitation link expires after 7 days. If it expires before the user accepts it, you must send a new invite.
