Cubex: Syncing Patients at Check-In and Check-Out

In Instinct EMR, checking a patient in or out automatically syncs their record with MyCubex—no manual entry needed at the cabinet.

How patient and visit data syncs with MyCubex

When a patient is checked into Instinct EMR, their record is activated in MyCubex and becomes searchable at the cabinet. When a patient is checked out of Instinct EMR, their record is deactivated in MyCubex and removed from the active patient list at the cabinet.

Patient and account information changed during an active visit in Instinct EMR will also sync to MyCubex automatically.

Note: It takes approximately 30 seconds for a patient to appear at the cabinet after check-in, but could take up to 1 minute depending on patient volume and your practice’s internet speed.


How to check a patient in or out

To check a patient in or out in Instinct EMR:

  1. Locate the patient's name via the Business Office, Lookup/Universal Search, Appointment Calendar, or the Status Board.

  2. Click the three-dot menu (⋯) next to their name.

  3. Select Check In or Check Out depending on the patient's current status.

Note: Patients checked into the On the Way (OTW) board also have their details sent to MyCubex.


What data syncs to MyCubex

The following information is sent to MyCubex when available in Instinct EMR:

  • Patient information: Patient ID, name, date of birth, species, breed, and gender

  • Account information: Account ID, first/last name, address, phone number, email, and date of birth

Account and patient merges/transfers

Transferring a patient to a new account or merging two accounts in Instinct EMR will update the patient and account information in MyCubex.

Warning: Merging two patients in Instinct EMR will not update MyCubex. The merged patient remains Active in MyCubex. You must manually set that patient to Inactive in MyCubex.
