How Cubex Profile Ordering Works in Instinct EMR

In Instinct EMR, with Cubex Profile Ordering enabled, mapped orders are sent directly to the Patient's Profile at the Cubex cabinet, so your team can dispense the right medication at the right time—without searching manually at the cabinet. Orders display the item, quantity, and due time on the patient's profile.


Scheduled orders from the Tx Sheet or Ax Sheet

Workflow at a glance

  1. Schedule an order on the Tx Sheet or Ax Sheet in Instinct.

  2. At the Cubex cabinet, select the patient and issue the item from their profile.

  3. Administer the treatment to the patient.

  4. Complete the order in Instinct to record it in the medical record.

Warning: Complete the order in Instinct after dispensing the item from the cabinet—not before. Completing an order in Instinct first removes it from the cabinet profile.

When orders are available at the cabinet

  • Orders appear in the patient's profile up to 1 hour before the scheduled time (or within 30 seconds if the order is scheduled within the hour).

  • Orders remain available for 2 hours after the scheduled time—unless removed from the cabinet, completed, or the patient is checked out, whichever happens first.

How to identify a mapped product

A Cubex icon appears next to the product name on the Tx Sheet and on the treatment line for any product mapped to Cubex. If you don't see the icon, that product is not configured to communicate with Cubex. Check with your admin if you believe it should be mapped.


Rx Prescriptions

When a mapped product is prescribed in Instinct via the Rx (Prescriptions) panel, the prescription details are automatically sent to the Cubex cabinet—no need to re-enter the order at the cabinet.

  • If the prescription is updated before it is dispensed (e.g., quantity changed), Cubex updates automatically.

  • When the medication is prescribed, the charge is added to the Instinct invoice.

  • Once an invoice is closed, quantity changes will no longer update in Cubex or on the Instinct invoice.

  • Rx orders are available at the cabinet for 7 days after being prescribed.


One-off orders

One-off orders for mapped products are automatically sent to the Cubex cabinet when the order is completed.

  • One-off orders are available at the cabinet for 2 hours after being ordered.

Note: One-off profile ordering is an optional add-on. Contact the Instinct team to confirm whether One-Off Profiles are enabled for your hospital.


Frequently asked questions

How long are orders available at the cabinet?

  • Tx/Ax Sheet orders: Available 1 hour before the scheduled time, and expire 2 hours after.

  • Rx orders: Available for 7 days after being prescribed.

  • One-off orders: Available for 2 hours after being ordered.

What happens if I update the frequency or start time of an order? All orders already sent to the cabinet are canceled and removed.

What happens if I update the quantity of an order? The quantity updates at the cabinet.

What happens if I discontinue an order? All orders already sent to the cabinet are canceled and removed.

What happens if I NC (Not Completed) a treatment? All orders already sent to the cabinet are canceled and removed.

What happens if I skip an item at the cabinet? Nothing changes. The order remains available at the cabinet.

Why don't I see Instinct orders at the cabinet? Check the following:

  • Confirm the product is mapped—look for the Cubex icon next to the product name on the Tx Sheet, RX Prescription, or One-Off order in Instinct.

  • Confirm the product is mapped to the correct Cubex item in admin settings.

  • Confirm you haven't already completed the order in Instinct—completing first removes it from the cabinet.

  • Confirm your workstation's time zone matches the Cubex cabinet's time zone.

  • Confirm the Cubex cabinet is in Profile Mode.
