Manage Multi-Location Products on a Treatment Sheet

In Instinct EMR, if a product added to a patient's treatment sheet isn't available at the visit's current location, the Order Confirmation modal flags it so you can replace or remove it before placing the order. This applies to practices using Multi-Location Pricing (MLP).


When this happens

The Order Confirmation modal checks for unavailable products whenever you:

  • Add a Product Group from the Tx Sheet search bar.

  • Apply a Previous Visit's Treatments from the Tx Sheet search bar.

  • Generate a Tx Sheet from an Estimate.

  • Change a patient's location via the Patient Sidebar when active Tx Sheet orders include products unavailable at the new location.


What you'll see

Unavailable products appear differently from available products in the order confirmation window. Unavailable products will display:

  • A yellow background on the row.

  • A warning icon to the left of the product name.

  • A replace icon to the right of the product name, to search for a substitute.

  • Read-only Route, Frequency, and Quantity fields, since the product can't be ordered as-is.

  • A trash icon on the far right to remove the product entirely.

Available products in the same group display normally with editable fields. The Order button remains disabled until all unavailable products have been replaced or removed.


Replace an unavailable product

  1. Click the replace icon on the unavailable product row to open an inline search panel.

  2. Type in the search field to find a replacement. Results are scoped to products active at the current location only.

  3. Select a replacement. A new editable row appears directly below the original, pre-populated with default Route, Frequency, and Quantity where available, and you can edit them.

The original unavailable row stays visible with strikethrough text, so you can see what was replaced. Click the replace icon on the replacement row to search for a different product; selecting a different product replaces the previous choice.


Remove an unavailable product

  1. Click the trash icon on the unavailable product row.

  2. In the confirmation popover, click Remove to delete the row, or Cancel to dismiss without changes.

If you remove an item by mistake, click the undo icon on the right side of the row for the removed item.


Placing the order

Once all unavailable products are replaced or removed, the Order button becomes enabled. Clicking Order submits the resolved list:

  • All checked available products are added to the Tx Sheet.

  • Any replacement products you selected are added to the Tx Sheet.

  • Original unavailable products that were replaced (the strikethrough rows) are not included.

  • Products you removed are not included.


Frequently asked questions

What happens if I close the modal without resolving every flagged product?

The Order button remains disabled, and the order isn't placed until all unavailable products are replaced or removed.

Does this work the same way on an invoice?

No. On an invoice, unavailable products are automatically flagged and excluded, rather than offering an inline replace or remove option. See Invoice Exclusions by Location.
