Cycle Counts

To perform a Cycle Count, use your tab key to access the next editable field. You can also double-click in the quantity field for the product being counted. If the amount is less than the Quantity on Hand (QOH) the difference column will automatically calculate the amount. This also occurs if the actual quantity is higher than the QOH. The difference column will display the appropriate quantity.

Notes are optional and can be entered to explain why a product’s actual quantity is lower or higher than what is on hand. For example, a propofol bottle was dropped and had to be discarded.

Once any product has been updated with the actual quantity and note, you can select the Update Changed Rows button in the upper right hand corner. This button will display the total amount of rows that are being updated. The actual quantity and notes will be updated in the Product section under the Inventory History. This will display the cycle counts with the date and staff member who made the count and notes.

To assist staff with performing these counts the Filter options can be used to narrow down and display specific columns on the screen.

  • Product

  • Lot number

  • Expiration date

  • Inventory location

  • Last adjusted date

  • Last count

  • Quantity on hand (QOH)

  • Actual quantity

  • Difference

  • Notes

You can also select from different operation values depending on the column selected. For instance, if you select Product as a column you will have the following operation values to select from (“contains”, “equals”, “starts with”, “ends with”, “is empty”, “is not empty”, and “is any of”) whereas if you select Inv Location you will only get the operation values of “is “,”is not”, and “is any of.”

  • You have the ability to add multiple filters at once by selecting + Add a filter, then select either “And” or “Or” for the filter.

  • Selecting “Remove all” will remove the current filters.

You can also perform the following actions within each column using the 3-dots:

  • Sort by ASC (ascending order)

  • Sort by DESC (descending order)

  • Pin to left

    • Unpin

  • Pin to right

    • Unpin

  • Filter: Allows you to narrow down further by product, lot number, expiration date, inventory location, last adjusted date, last count, quantity on hand (QOH), actual quantity, difference, and notes. For more information see filters above.

  • Hide column

    • To undo select manage columns and toggle on the hidden column selected.

  • Manage columns: which columns should appear on the screen. Can choose to toggle columns on screen to active or hidden.

Finally, in the upper right side of the screen, you can do the following:

  • Search (magnify glass): Using the search bar you can search for a specific product by name.

  • Download as a CSV: Located in the 3-dot menu to the right of the search bar.

🚨 Please Note: The Cycle Count will only display products that had transactions in Counts, Depletions and Purchase Orders
