Cubex | Patient Check-In & Out

Checking patients in and out of Cubex is a simple process that starts within Instinct.

🐕Visit & Patient/Account Sync

Patients checked into Instinct will automatically get activated in MyCubex, allowing them to be searchable at the cabinet. Conversely, when they are checked out of Instinct, they will become inactivated in MyCubex and removed from the active patients at the cabinet. Updates to Patient and Account information in Instinct during a visit will sync with Cubex.

There are multiple places a patient can be checked in or out from in Instinct, but a good rule of thumb is the 3-dot menu next to their name (from any screen) will offer Check In or Out depending on the current status:

The following information will be sent to MyCubex if available in Instinct:

Patient Information

  • Patient ID

  • Patient Name

  • Patient DOB

  • Patient Species

  • Patient Breed

  • Patient Gender

Account Information

  • Account ID

  • Account First/Last Name

  • Account Address

  • Account Phone Number

  • Account Email

  • Account Date of Birth


🚨 Important Things to Know

  • It takes approximately 30 seconds for patients to appear at the cabinet but may take up to 1 minute, depending on patient volume/internet speed.

  • Patients checked in to the OTW board will also have their details sent to MyCubex.

  • Changes to patient or account information in Instinct will be updated in MyCubex.

  • Transferring a patient to a new account or merging two accounts together in Instinct will update the patient and account information in MyCubex.

  • Merging two patients in Instinct will not update MyCubex and the patient that was merged will remain as ‘Active’ in MyCubex. Users will need to manually change this patient to ‘Inactive’ in MyCubex.
