Cubex | Workflow for Scheduled Orders (Tx Sheet/Ax Mode)

Follow these simple steps to complete the correct workflow in Instinct and Cubex.

🔃Profile Orders

Orders are sent to the Patient’s Profile at the Cubex Cabinet from Instinct’s Tx Sheet, Ax Mode, Rx Model, and One-Off. The item, quantity, and due time is visible for your team to accurately and efficiently issue what they need when they need it.

📆 Scheduled Orders: Tx Sheet/Ax Mode

Workflow at a glance:

  1. Schedule an Order on the Tx Sheet or Ax sheet

  2. Remove the Item from the Cabinet under the Patient’s Profile

    • This action will place the medication on the patient’s invoice

  3. Perform the Treatment

  4. Complete the Order in Instinct

Orders will be available at the cabinet:

  • 1 hour prior

    • Orders will be available in the patient’s cabinet profile for up to 1 hour prior to the scheduled time; within 30 seconds if scheduled within the hour prior to or during.

  • 2 hours post

    • Orders will remain available in the patient’s profile until (a) they are removed, (b) 2 hours after the scheduled time, (c) the order is completed, or (d) the patient is checked out, whichever happens first.

User Workflow Step-by-Step:

  1. Order a mapped product on the Tx Sheet or Ax Sheet in Instinct

    • A Cubex Icon will appear after the product’s name and on the treatment line to indicate it is mapped to Cubex. If you do not see that icon, this product will not communicate to Cubex; check with your admins if you believe it should.

  1. At the Cubex cabinet, select a patient to view orders sent from Instinct (incl. product, QTY, and time).

    • Patients checked into Instinct are searchable at the Cubex cabinet.

    • Orders will be available at the cabinet 1 hour prior to the scheduled order time and expire 2 hours after the scheduled order time (available for 3 hours total) to accommodate common user workflows.

  2. Issue Item(s) to remove your selections

    • The quantity being issued at the cabinet will trigger the item(s) to be sent to the Instinct invoice, instead of when the treatment is completed. This is unique to the Cubex Billing Integration and Products that are mapped.

  3. After the treatment has been administered to the the patient, complete the order in Instinct to record it in the medical record.

💊Rx Prescriptions

When a mapped product is prescribed through Instinct, the details of the product and its quantity will be sent directly to Cubex, eliminating the need to recreate the order at the cabinet. Any changes made to the prescription after it has been created and before it is dispensed from Cubex will be updated in Cubex, ensuring that all information remains accurate (e.g. if the quantity is increased or decreased).

Upon dispensing of the prescribed medication from the Cubex cabinet, the medication will be added to the Instinct invoice. Once an invoice is closed, any changes to quantities will no longer be reflected in Cubex or the Invoice.

Prescriptions will be available at the cabinet:

  • Prescribed medications will arrive in Cubex within 30 seconds and remain for 7 days.

✔️ One-Off Orders

When you complete a mapped one-off treatment, the order will automatically be sent to the Cubex cabinet. Upon dispensing the medication from the Cubex cabinet, the medication will be added to the Instinct invoice as a line item.

One-Off orders will be available at the cabinet:

  • One-Off orders will arrive in Cubex within 30 seconds and remain for 2 hours.

  • How long are orders available at the cabinet?

    • Scheduled Tx/Ax Sheet orders

      • One hour prior: Orders will be available in the patient’s cabinet profile for up to 1 hour prior to the schedule time; within 30 seconds if scheduled within the hour prior or during.

      • 2 hour post: Orders will remain available in the patient’s profile until (a) they are removed, (b) 2 hours after the scheduled time, (c) the order is completed, or (d) the patient is checked out – whichever happens first.

    • Rx orders

      • Orders are available for up to 7 days after being ordered.

    • One-Off orders

      • Orders are available for 3 hours after being ordered.

  • What if I update the Frequency or Start Time of the order?

    • All orders already sent to the cabinet will be cancelled/removed.

  • What if I update the Quantity?

    • The quantity will update at the cabinet.

  • What if I discontinue the order?

    • All orders already sent to the cabinet will be cancelled/removed.

  • What if I NC (Not Completed) a treatment for any reason?

    • All orders already sent to the cabinet will be cancelled/removed.

  • I don’t see Instinct orders available at the cabinet?

    • Ensure that the product is mapped (look for the

      icon)

    • Ensure the product is mapped to the correct Cubex item in admin

    • Did you complete the order in Instinct first?

      • Completing first effectively discontinues that one occurrence, removing it from the cabinet

      • Items should be removed before the Instinct order is completed

    • Ensure your time zone of your workstation matches the Cubex Cabinet

    • Verify that your Cubex Cabinet is in Profile Mode

  • What if I Skip an item at the cabinet?

    • Nothing will change; the order will remain available at the cabinet.
