Multi-Location Patient Reminders

Multi-location EMR practices can assign a location to patient reminders, ensuring preventive care communications are tied to the right clinic. Single-location practices are not affected by this change.

Before you begin

  • This feature is available to multi-location practices only. If your practice has a single location, your workflow is unchanged.


Assigning a location to a reminder

A location drop-down appears in the following areas of the app when creating or editing reminders. The field pre-selects your practice’s default location, so most entries require no extra action.

Navigate to any of the following areas where you create or edit a reminder:

  • One-off treatments

  • Completing treatments (via the Tx sheet or Ax mode)

  • Patient chart → Reminders

  • Patient chart → Snapshot → Vaccinations or Health Services (three-dot menu) → Add Vaccine History or Add Health Service History

  1. In the reminder form, locate the Location drop-down. It will default to your practice’s primary location.

  2. If the reminder should be associated with a different location, select the correct location from the drop-down.

  3. Save or complete the reminder as usual. The location will be stored with the reminder.

Note: This applies to products/services that have Reminders attached to them.


How existing reminders were updated

All reminders that previously had no location assignment have been automatically assigned using these variables, in this order:

  1. The location of the associated treatment/service

  2. The patient’s last visit location

  3. The patient’s last appointment location

  4. The practice’s default location

No action is required. You can verify a reminder’s assigned location at any time by opening the existing reminder in the patient’s chart via the patient information panel.

Warning: The existing reminder assignment used best-guess logic. If you notice a reminder has been assigned to the wrong location, you can correct it manually by opening the reminder and updating the location in the Location field.


Frequently asked questions

Does this affect single-location practices?

No. If your practice has only one location, you will not see the location drop-down, and your workflow is completely unchanged.

What if I skip the Location field when creating a reminder?

The field defaults to your practice’s primary location, so a location is always captured. If the default is not correct for that reminder, select the right location before saving.

Why was a location added to my existing reminders automatically?

This is a one-time backfill to ensure all reminders have a location for upcoming location-aware reminder features. The logic is described in the section above. You can manually correct any reminder that was assigned to the wrong location.
