Resolve Common Access Issues to Instinct's Shareville Portal

How to manage and resolve access issues to patient records in the Instinct Shareville Portal

Written by Melissa Duarte

Overview of Patient Record Access

Instinct Shareville Portal access is contingent on proper account linkage and login credentials. If these are not correctly managed, access to patient records may be disrupted.

Scenarios Affecting Access

1. Removal of a Practice from a Patient's Account

If a veterinary practice is removed from a patient's account, access to the patient’s medical records will no longer be available. This ensures that only authorized practices can view patient information.

2. Incorrect Login Credentials

Access issues can also occur if a practice logs into Shareville using the wrong organization account. For example, using credentials for a different hospital or department will prevent access to patients associated with the correct practice. It is crucial to ensure that the login credentials correspond to the exact practice or department linked to the patient. Switching to the correct account resolves this issue.

Steps to Resolve Access Issues

  1. Check Login Credentials: Confirm that the login credentials being used correspond to the correct organization account. If necessary, switch to the appropriate account.

  2. Advise the referrer to reset their password: Click on the Need a new password? link below the Login button. They will then receive a link to reset their password. Please note that the reset password link expires within 30 minutes.

  3. Re-link the Practice: If a practice has been removed from a patient's chart, add the practice to the patient’s account in the Account/Patient editing window, then click Save.
