Instinct Shareville: rVet Guide

Instinct Shareville is a portal that allows referring veterinarians to view and download patient updates and documents shared by your local referral hospital. This guide covers how to log in, understand your notifications, and troubleshoot common access issues.


Before you begin

  • Shareville log ins are tied to email addresses. If an email address is shared across multiple locations, all locations will access Shareville using the same password.

  • For best results, Shareville is best accessed via a Google Chrome web browser


Creating Your Login/Password

When a mutual patient arrives at the referral hospital, your email address is entered into Instinct EMR and Shareville automatically sends you a notification via email. The first time your hospital logs in, you will be prompted to create a password.

  1. Open the Shareville link from your Patient Visit Notification email. Example of a notification email:

  2. When prompted, create a new password associated with your notification email address.

  3. Log in to view all patients associated with your hospital from the referral hospital.

  4. Select View Patient Records to view and download individual documents, specific visits, or all visit information.

Tip: Bookmark the main Shareville portal link to easily access your patient’s records at any time!


Understanding Shareville notifications

Shareville sends email notifications for the following types of events:

  • Check-in: You are notified when a mutual patient arrives at the referral hospital.

  • Check-out: You are notified when a mutual patient is discharged.

  • Deceased patient notification: When a patient is marked as deceased in the system, an email is automatically generated to notify you. (You will be able to see that the patient is deceased when logging into the Shareville Portal)

  • New documents: When finalized documents are ready to review, notifications are sent three times daily at 8:00 AM, 12:00 PM, and 5:00 PM (based on your hospital's local time zone).

Document notification windows cover the following periods:

  • 8:00 AM → Documents finalized overnight (5:00 PM – 8:00 AM)

  • 12:00 PM → Documents finalized in the morning (8:00 AM – 12:00 PM)

  • 5:00 PM → Documents finalized in the afternoon (12:00 PM – 5:00 PM)

Notifications are only sent when new documents have been finalized and shared since the last notification window. If no documents are finalized during a given period, no email is sent.

The email will include two links, the first link is for that specific patient’s portal, and the second link is to view all of your mutual patients in the portal.

What should I do if I'm not receiving Shareville emails or can't access the portal?

Ask your IT team to add the following domains to your email and network allowlist:

Are records to be downloaded via email?

For security purposes, no documents are actually sent via email. The notification emails will instead contain a unique link that will allow you to access each patient’s Shareville portal. Please note that the patient portal link contained in these emails will expire after 30 days.

How do I reset my Shareville password?

If you need to reset your password, just click the Need a new password? link below the Login button. You will then receive a link to reset your password. Please note that the reset password link will expire within 30 minutes.
