Order from Vetcove and Receive Purchase Orders in Stockroom

Written by Melissa Duarte

With the Vetcove inventory integration, you place orders in Vetcove and receive them in Stockroom. Purchase orders from Vetcove are automatically created in Stockroom, so you don't need to re-enter them.

Beta Phase: This integration is currently in Beta, which means it’s still being tested and improved. Some functionality may change. If you notice any issues, please contact Support.

Before you begin

Find products to reorder in Vetcove

The Critical Shortages list displays linked products that need to be reordered based on your Stockroom min and max quantities.

The quantity indication bar to the right of a product shows your min and max quantities, along with your current quantity on hand.

Place an order in Vetcove

  1. Open an item from the Critical Shortages list, or browse your linked items.

  2. Review the Vetcove items and supplier options.

  3. Add the items you need to your Vetcove cart, choosing the supplier for each.

  4. Complete your order using the standard Vetcove checkout.

If an item is already in your cart, Vetcove displays a message so you don't order it twice.

Note: Purchase orders must start in Vetcove. Purchase orders created directly in Stockroom do not sync to Vetcove.

Find your purchase orders in Stockroom

After you place an order in Vetcove, Stockroom automatically creates one purchase order for each supplier in the order. Navigate to Local Inventory → Purchase Orders in Stockroom to view them. Vetcove purchase orders will list Vetcove in the Source column.

Receive your order in Stockroom

  1. In Stockroom, navigate to Local Inventory → Purchase Orders

  2. Select the purchase order for the shipment that arrived.

  3. Update the quantities you received.

  4. If prompted, update the buying cost to match the Vetcove price.

  5. Select Add Received to Inventory when ready to complete receiving.

Updated quantities sync to Vetcove at the next automatic sync, or immediately when you click Sync Inventory in Local Inventory → Products. A product leaves the Critical Shortages list once it is above its minimum quantity. For more on receiving, see Instinct Stockroom: Receiving Inventory.
